1. What is the setup process for Custom email hosting on cSpeak?
The setup process includes:-
You must have your own domain name to use with cSpeak.com custom edition.
Add your custom domain name account in cSpeak.com with the help of cSpeak.com technical support team. (The name should be added to virtual domain manager in mail server before users can create email accounts for the custom domain in cSpeak.com)
Add email accounts and create mailboxes for your users using your own domain name (your_name@your_domain.com) in cSpeak.com
Modify the MX records of your domain in your domain control panel to direct your mail flow to cSpeak mail server. This can be done either by your email administrator after obtaining the MX information from cSpeak.com or by our technical support team if you are able to provide access for us to log-in and change your DNS MX records.
Migrate your old emails to your new account in cSpeak.com (optional)
2. What are the MX records?
MX is the short for mail exchange record. It is an entry in the Domain Name System (DNS) database which defines the mail servers responsible for routing emails for your domain.
3. How can I redirect my existing mail server to cSpeak?
You should change your existing MX records of your domain to cSpeak mail server. After signup, our technical support team will provide the MX record of the cSpeak mail server for you. You should use this information in your domain control panel to enable the cSpeak services.
4. When should I change my MX Records?
You have to change your MX Records after you have created all the required mailboxes of your custom domain in cSpeak. If you have changed your MX records before creating any mailboxes or group email addresses, there are chances that your email will get bounced to the sender.
5. Can I use my existing email services during MX record update process?
No, you cannot access the existing email services while the MX record update process is on-going. During the MX record update process, the existing mail service can be used, but once the new record is in place, new service will only be available. But in some rare cases this may not work 100%. Also, there are methods to use multiple MX records with different priorities so that there is no data loss during migration.
6. How long the domain migration takes?
Domain migration usually takes 24-48 hours. We usually advise companies to initiate the DNS change on a Friday night, so they experience a downtime window of just a weekend to do the actual migration.
